Printing tips

  • Print at actual size (100%), not "fit to page", so the lines stay a usable size.
  • It is laid out for US Letter paper and also fits A4.
  • Turn on "background graphics" if the colors come out pale.

What is on this checklist

Run this every 6 months. Most teams find at least one tool nobody uses.

Find everything

  • Search card and bank statements for recurring charges
  • Check the app stores for mobile subscriptions
  • Ask each team what they signed up for
  • List free trials that will convert to paid
  • Note the renewal date of every annual plan

Check what you use

  • Look at last-login dates for every seat
  • Remove seats for people who left
  • Spot two tools doing the same job
  • Check if a free plan now covers what you need
  • Compare monthly vs annual pricing for the tools you keep

Act on it

  • Cancel or downgrade before the renewal date
  • Export your data before you cancel
  • Ask for a discount before renewing (it often works)
  • Put renewal dates in a shared calendar
  • Pick one owner for each tool
Put it on your website or blog
